How does equipment hire actually work?

You describe the job and the dates, we confirm what is free and what it costs, and the equipment goes out against agreed terms. The part that surprises people is that availability is only confirmed at booking, not at enquiry — because what is free depends on what is already out.

The steps, in order

  1. Job requirement. What work needs doing, and where.
  2. Equipment type. A category is enough. A suitable machine is identified against the job.
  3. Work details and measurements. Area, thickness, quantity — whatever describes the scale.
  4. Dates. Your planned start and return. You set these; we do not estimate job duration.
  5. Site and access information. Road access, unloading, floor level, power, permitted hours.
  6. Availability check. Against what is already out on those dates.
  7. Rate, deposit and transport terms. Confirmed in writing before anything moves.
  8. Booking confirmation. Availability becomes firm at this point, not before.
  9. Collection or delivery. Access confirmed in advance, not on arrival.
  10. Condition handover. Handover, inspection and condition-recording arrangements are confirmed in the written quotation before booking.
  11. Hire. Responsibility for the equipment during hire is confirmed in the written quotation before booking.
  12. Return. Return condition, cleaning and fuel basis are confirmed in the written quotation before booking.
  13. Condition check and settlement. Deposit handling is confirmed in the written quotation before booking.

What can affect timing

We use planning labels rather than day counts, because a day count that cannot be confirmed is worse than none:

  • Availability check required — whether the item is free on your dates
  • Delivery planning required — vehicle, route and unloading
  • Operator confirmation required — where you need one supplied
  • Accessory confirmation required — blades, points, hoses, leads
  • Site access confirmation required — where access is constrained or unclear
  • Longer hire planned — where the period affects what can be committed

The factors behind those: equipment availability, your dates, quantity, delivery distance, vehicle access, operator availability, accessories, site power, site restrictions and, on outdoor work, weather.

What we do not do

We do not estimate how long your job will take. That depends on the material, the machine, the operator, access, site conditions and how many hours a day the site actually works. You set the dates; we tell you what is available across them.

We also do not publish rates, because they depend on the machine, the period, the quantity and the transport involved.

When is availability confirmed?

At booking, not at enquiry. An enquiry tells us what you need; the availability check tells you what is free on your dates. Until a booking is confirmed, nothing is held.

What happens if the equipment is damaged?

Responsibility during hire, and the treatment of loss, theft or damage, are confirmed in the written quotation before booking. Full terms are on the hire terms page.

Can I extend a hire?

The customer supplies proposed dates. The written quotation confirms the hire period, rate basis, transport arrangements, extension procedure and early-return treatment for that requirement.
